Terms and Conditions for Wirtschaftsjunioren Berlin (JCI Berlin)

1. Introduction

The JCI beat of berlin 2018 in Berlin, Germany (“event”) is organized by Wirtschaftsjunioren Berlin e.V. (WJB), in Berlin, an association established under the laws of Germany, registered with the club register Germany under “Wirtschaftsjunioren Berlin e.V.

2. Registration

2.1 Any delegate to the beat of berlin must register by using the registration form available under beat-of-berlin.de. The term “delegate” shall mean all participants who participate in the event.

2.2 Registration will not be deemed completed until the required registration fee and documentation have been received by WJB.

2.3 Use a separate form for each delegate.

2.4 By registering to the event, the delegate accepts the terms & conditions of the beat of berlin.

3. Fee

3.1 Event registration fees and deadlines for early bird and regular registration are indicated on beat-of-berlin.de. The registration fees include 19 % German Value Added Tax (VAT).

3.2 Payments must be received by WJB no later than the date stated as early or regular registration deadline to be considered as early or regular registration.

3.3 All delegates must register with full registration fee.

3.4 The registration fee includes admission to the whole event. Additional fees might apply for extra program not written down in the program of beat of berlin. Insurance, transportation to and from the event and accommodation is not included. JCI and Wirtschaftsjunioren Berlin do not assume any responsibility or liability in this regard.

4. Payment Terms

Registration is only completed after the registration fee is fully paid. Registration fee must be paid in Euros. Delegates must bear all bank charges.

The deadline for wire transfer payment is 20 days prior to beat of berlin.

5. Limited number of places

5.1 The event is placed in venues of a suitable size for the event; however there is only a limited number of places available. Should the event be sold out, prospective delegates will be informed and a waiting list will operate. The waiting list will function on a ‘first come, first served’ basis, subject to receiving registered delegate cancellations.

5.2 WJB will not be liable for any travel or accommodation expenses incurred by an individual who travels to the event without a confirmed registration.

6. Registration Name Change

During the registration process, an invoice will be made available for the delegate. After that, changes to name and address may only be made by giving written notice to WJB and paying a EUR 15 handling fee to WJB no later than June 15th, 2018 (e.g. changed matrimonial status, replacement delegate if unable to attend). Only one name change per registration will be accepted.

7. Cancellations/Refunds

7.1 Once a delegate cancels its registration, refunds will only be given per the following schedule:

• Up to the early registration deadline: 25 % refund.

• Thereafter, 0% refund. No exceptions made.

7.2 The relevant date for the refund will be the day of documented receipt of written cancellation by WJB.

7.3 NOTE: 50% refunds will be given to delegates who failed to get their visa in time to attend the event. Official proof of the embassy confirming that a visa could not be granted is required until 15 days after the event. WJB will not entertain any requests for refunds after 15 days after the end of the event.

7.4 No refunds will be given onsite. If a delegate failed to receive his/her VISA in time, the refund will be issued after the event.

7.5 Process for refund may take up to four weeks. The refund will be credited to the bank account submitted by the delegate. Bank transfer costs must be borne by the delegate.

7.6 No refunds will be given for unattended events or for early leave of the event for whatever reason.

8. Visa Requirements / Confirmation Letter

8.1 It is the sole responsibility of the delegate to take care of his/her visa requirements. Please apply for your visa in good time. Delegates should contact their nearest embassy or consulate to determine the appropriate timing and procedure of their visa applications.

8.2 Upon request of the delegate whose registration is completed, WJB assists the delegate in obtaining visa by issuing an official letter (“Confirmation Letter”), provided that WJB receives such request on or before 15th June 2018 at the latest. Confirmation Letter will not be sent after June 16, 2018, and will only be issued if the delegate’s name was approved by the National President of the delegate’s national organization. The Confirmation Letter is intended to facilitate the delegate’s travel and VISA arrangements only, and does in no way imply the provision of any support, financial or otherwise.

9. Liability Disclaimer

9.1 The liability of each of WJB, JCI, and their representatives, whether in contract, tort, or otherwise, shall be limited to direct damages that are the result of gross negligence or willful misconduct of the liable party itself. The liability for vicarious agents is excluded. This limitation of liability shall not apply to bodily injury or death caused by the liable party itself.

9.2 Delegates are advised to arrange their personal insurance for the duration of the events and tours to cover personal accidents, illness, losses or damage to private property.

9.3 While every attempt will be made to ensure that all aspects of the event mentioned in this announcement will take place as scheduled, WJB reserves the right to make changes (including venue or any other published particulars) with or without giving notice should the need arise. WJB may add to, change, delete or end use of a service at any time. WJB cannot promise that a service will always be uninterrupted, timely, secure or error-free. WJB may deny or suspend your access to the event or any service for inappropriate use or breach of these terms & conditions.

9.4 The event and any service, such as website, registration system, newsletters, etc., are provided “as is” and WJB hereby disclaim any warranty whatsoever, including any implied warranty for fitness for a particular purpose.

10. Privacy, Data Protection

10.1 WJB will do its best efforts to ensure full protection of personal data that are entered in the course of the registration procedure. No other third parties will have access to personal registration information.

10.2 Delegates take note and accept that registration information may be used and shown in the delegates register. In particular, WJB is allowed (1) to forward delegates’ registration information to sponsors of the event, (2) to add delegates’ e-mail address to the event mailing list, and (3) to share the registration information with Junior Chamber International (JCI) Inc., Chesterfield, Missouri, USA.

11. Intellectual Property

All delegates agree that they are filmed or photographed and used by WJB for further promotion on www.wjb.de, in social media and in promotional literature.

12. Modifications

WJB reserves the right to modify these terms and conditions at any time by giving appropriate notice.
